Documents for examination

List of materials for out-of-court specialist conclusions and court examination.

For the specialist's conclusion

For out-of-court research, the materials are provided by the client. The specialist evaluates the sufficiency of the materials and indicates whether it is possible to prepare a conclusion based on the submitted documents and photographs or if an on-site inspection is required.

  • photographs of the product, packaging, labeling, and identified defects;
  • receipt, invoice, or other proof of purchase;
  • contract, work order, specification;
  • warranty card and user manual;
  • claim and response from the seller, contractor, or supplier;
  • correspondence;
  • inspection report, transfer-acceptance act, act of identified defects;
  • documents on repair, storage, transportation, assembly, or installation;
  • conclusion of the service center or quality inspection results;
  • description of the situation and expected questions to the specialist.

Main principle

The better preserved the object, packaging, labeling, documents, and photographs are before any intervention, the higher the verifiability of conclusions. The expert does not collect evidence on behalf of the party but examines the materials provided.

For judicial expertise

  • court decision or ruling on the appointment of an examination;
  • case materials sent to the expert;
  • objects of the study;
  • documents submitted by the court or another authorized body;
  • questions posed to the expert;
  • additional materials, if they are provided in the established procedural manner.

During a judicial examination, the expert does not collect evidence on behalf of the parties. The study is conducted based on materials and objects provided by the court or another body that appointed the examination.

What is important for the court

For the appointment of an examination, it is advisable to provide the court in advance with information about the possibility of conducting the study, its duration, cost, the expert's competence, education, qualifications, experience, availability of a laboratory, instruments, measuring tools, devices, and equipment.

Send documents for preliminary assessment

Describe the situation and attach photos, documents, or archive. After reviewing the materials, an expert will inform you about the possibility of research, timelines, and the procedure for further work.

Submit inquiry

How data is processed: Personal data processing policy. Attach only the necessary materials. If possible, conceal extra personal data of other individuals.

What to prepare

  • photographs and purchase documents
  • claims, correspondence, and reports
  • documents of repair, storage, and transportation
  • court ruling or case materials

How to link materials to a specific product

If there are several items in the appeal, it is convenient to create a separate line of inventory for each: name, model or article number, individual number if available, quantity, location, and disputed attribute. Identical chairs, boxes, or facades should not be designated by a single general word if their condition differs. The line number can be repeated in the names of photograph copies and in the explanation for the documents.

For a single object, it is useful to separate three groups of information: what the item should be according to the order, what it was at the time of delivery, and what it became by the time of inspection. The contract describes the agreed properties, the delivery act records the received state, and later photographs show the state on the date of shooting. One document does not replace the others if the change of the item over time is being studied.

Inventory of the disputed attribute

  • Specify the location: for example, the right front corner of the tabletop or the lower part of the side wall.
  • Describe the observed manifestation: swelling, rupture, size deviation, absence of an element. Record the presumed cause separately.
  • Attach an overall view with reference to the product and a close-up of the same area.
  • Indicate which operations have already been performed: assembly, repair, cleaning, drying, part replacement.

In the explanation, also mention missing materials: lost packaging, unsigned report, absence of original photo. This allows you to determine in advance which circumstances can be checked directly and which will only be known from the participants' accounts. For judicial examination, such a list helps formulate a request for materials through the agency that appointed the study.
